Can I leave and take my data?

Yes — completely. The database, the Stripe account, and the domain are yours from day one. Cancel, and you keep all three. Most platforms make leaving painful on purpose; we made it boring.

How long does setup take?

Your portal is provisioned and branded within a business day of your intake form. Your part is a ten-minute Setup Wizard plus a guided onboarding call — most teams are working in it the same week.

We already use a CRM. Does that matter?

No — bring your leads with you. One CSV upload (or an export from GoHighLevel, Apollo, and similar) imports your pipeline, and meetings sync from your booking calendar automatically.

Is my data mixed with other customers'?

Never. Every subscriber gets a fully separate installation — separate database, separate accounts, separate domain. There is no shared pool for your client list to sit in.

How does the coaching work?

Every month, two one-hour sessions with an operator from our team — booked from a Coaching tab inside your portal. Pick your coach, propose times, get a calendar invite. Included, not upsold.

Our team doesn’t work in English. Problem?

No — your portal is delivered in the language you choose, and that’s covered by the setup fee, not an add-on. Spanish, Portuguese, French, Arabic — tell us the language on your intake form and it arrives configured that way.

What happens after the invoice is paid?

The work — in the same system. Each engagement carries its own project: task board, team comments, progress tracking, and a delivery timeline your client follows from their portal. You never bolt on a per-seat project tool just to finish what you sold.

Does Mailroom send or delete email on its own?

No. A run only proposes. Nothing is filed, trashed, sent or turned into a task until you click Apply, and a whole run can be undone for 30 days. "Trash" means Gmail's Trash, never a hard delete. It runs on your schedule if you want it to, but it still waits for you.

Which email accounts and mail apps work with Mailroom?

Gmail and Google Workspace accounts today; Microsoft 365 is on the roadmap. Because Mailroom changes the mail on Google's server, every app you read it in — Gmail, Thunderbird, Outlook, Apple Mail, your phone — shows the result on its own. Nothing to install.

Is there a mobile app?

Better — your portal installs as an app straight from the browser, no app store, no separate login. On iPhone: open your portal in Safari, tap Share, then Add to Home Screen. On Android: Chrome menu, Add to Home screen. On desktop: the install icon in Chrome or Edge’s address bar. Your whole team and your clients get the same one-tap access.

Who supports it when something breaks?

A Help & feedback box is built into every page — each note gets a ticket number and a reply, usually same-day. And because we run our own firm on the same software, we tend to hit the bugs before you do.
